Summary

The successful applicant for this position will work directly and closely with the Director. The individual should be honest, presentable, with great interpersonal skills and all rounded individual capable of handling a wide variety of tasks.

· Prepare & manage correspondence on behalf of the Director

· Booking meetings, organizing travel and preparing complex itineraries

· Develop budgets, manage petty cash & ensure personal bills are paid in a timely manner

· Manage the corporate communications portfolio on behalf of the Director

· Act as a liaison between the Director & members of staff

· Planning, organizing and managing events (when need arises)

· Screening calls on behalf of Director and responding to queries

· Prepares reports by collecting and analyzing information

· Managing the Director’s diary by planning and scheduling meetings, conferences, teleconferences

· Negotiate, Manage and coordinate office repairs with suppliers and service providers

· Representing the Director in meetings and events

· Commissioning work on the Director’s behalf

· Sourcing and ordering stationery and office equipment

· Management of personnel and resources

· Oversee the management of all contractual engagements with clients, partners and other stakeholders of any assigned project

· Any other duties as advised by the employer

Requirements for the Personal Assistant Job

· Bachelor’s Degree in Business Administration/communication/PR and/or related fields

· At least 3 years’ experience in a similar position

· Human resource management and accounting skills are an added advantage

· Excellent organizational and coordination skills

· Proficient knowledge of Microsoft Office applications

· Good command of English language; Effective communication skills, both written & oral

· Strong Analytical skills

· Ability to interact with high level individual personalities

· Must be well polished & cultured

· A quick learner

· Highly confidential

· Strong sense of initiative

· Good problem solving & time management skills

· Culturally sensitive and ability to adapt easily
