The HR and Administrative assistant will perform a variety of personnel related administrative tasks.

Duties and Responsibilities shall include but not limited to the following:

  • Assist in administration related to recruitment of employees and coordinate recruitment, including advertisements, pre-screening of resumes, and preparation of offer letters for approval and organization of the orientation process including new hire packages.
  • Responsible for all HR administrative tasks including but not limited to photocopying and/or preparation of documents/packages, scheduling of interviews, and coordinating meetings.
  • Assist in managing attendance and leave.
  • Assist in general office administration.
  • Process, verify, and maintain documentation relating to personnel activities such as staffing, recruitment, training, grievances, performance evaluations, and classifications.
  • Examine employee files to answer inquiries and provide information for personnel actions.
  • Ensure that all new employees are registered with statutory bodies such as NHIF, NSSF
  • Maintain a safe and secure filing system for important HR documents including personnel data, selection documents, interview data, etc
  • Custodian of all employee files, ensuring the same is updated with mandatory documents at all times
  • Assist in managing the staff exit process smoothly by ensuring a proper clearing process and exit interviews are performed and shared with management
  • Take general responsibility for administrative duties that might be directed from time to time.

Requirements for the position

  • Business degree – with a preference to Human Resource specialization
  • Higher National Diploma in HR (KNEC)
  • Membership to IHRM ,this is a MUST
  • Years of experience: 2+ years of HR/Admin support experience;
  • Ability to be discreet and handle confidential information appropriately
  • Ability to communicate well with others and follow instructions with accuracy and efficiency
  • Strong organization skills and penchant for details with ability to efficiently manage time, including the ability to work under pressure and deal with multiple priorities
  • Ability to read and write professional correspondence
  • Ability to prioritize tasks and handle multiple projects simultaneously
  • Demonstrated ability to provide exceptional customer service to client groups.
  • Ability to learn various processes and policies quickly to effectively perform tasks and provide support as needed
